Professional Communication Skill for ICT Professionals

Question: Discuss about the Professional Communication Skill for ICT Professionals. Answer: Introduction In the present business scenario, it is observed that communication skill is considered as an asset to the professionals As well as for the concerned organization (Matturro 2013). In addition to this, in order to transmit the results of continuously evolving technology also requires the effective communication between team members. In this assignment a business proposal is selected and analyzed in the light of different parameters. At the end, some recommendations are also provided so that, if required the proposal can be improved to achieve its desired target. Analysis of the business proposal The cloud computing is an emerging technology in the field of information and communication technology. Therefore, for the organizations like KPMG it is important to target the specific audience so that their business can be appropriately promoted (Button, Harringtonand Belan 2014). The business proposals can be defined as an offer from the seller organization to a prospective buyer in the market. Therefore, it is important that the business plans are made according to the interest of targeted audience. The reason behind the failure of different business proposals by the business organization is wrong presentation or inappropriateness of those proposals for the potential customers (Holtgrewe 2014). Therefore, it is important for business organizations to provide specific guidelines (or formats) for making business proposals. Organizations should concentrate on providing figures and facts in the proposal. The format of business proposal changes with business or industry. Furthermore, they should clarify that fact and figures using references from the real life business scenario (Arkoudis, Harrisand Kelly 2015).At the same time, the proposal should be prepared in such a manner that it is simple and understandable for the audience of thesame intellectual level. For KPMG, in its business proposal, they focused on the way they can help their client with their expertise in thecloud strategies. The proposal expresses the information about the techniques or ways in which the clients organizations can save its cost required to install or upgrade its current ICT infrastructure to a cloud-based ICT infrastructure (Matturro 2013). Moreover, the amount ofbusiness and IT benefits, theclient can get using could platform is discussed in the proposal. The figure and facts provided in the proposal show that the extreme effort is given to describe professionalism and expertise of the organization in making cloud computing strategy for the clients. Another skill required to write effective business proposals is the use of language and writing strategy that is reader friendly. If the content and the writing style are attractive then it encourages the targeted audience to read and complete the whole business proposal otherwise, it can be considered as other business reports and the business proposal will fail to achieve its desired target (von Konsky, Jonesand Miller 2014). Therefore, in order to make an effective business proposal, its important to abide by some rules and regulations. While writing a business proposal, writers must keep in mind that, lesser use of adjectives and passive voice in the business proposal makes it much more attractive and encourages the readers to go through the total business proposal. The organization has tried to focus on the audience in sufficient amount. In addition to this, if the guidelines used in the proposals, it helps the readers to make out the concepts and points faster than ever (Button , Harringtonand Belan 2014). These suggestions related to format and style for the business proposals makes abusiness proposal to the point, efficient and more comprehensive. Another requirement for a good business proposal is theaccuracy of the facts depicted in the document. Since the readers are not interested to read a two-page long brief to understand a topic (Holtgrewe 2014). Therefore, concentrating on the facts and figures helps to avoid ambiguity in the business proposal. The facts related to different process needs to be mentioned and explained in the business proposal so that clients can have a brief overview about what is to be accomplished and how it is going to be completed. The proposal should clearly separate the opinions and facts provide by the business organization to the clients (Arkoudis, Harrisand Kelly 2015). The proposal should be written in a way that, readers can discriminate between a fact and an opinion. According to our analysis, the business proposal is to the point, appropriate and a bit lengthy. The proposal is also successful in achieving its target. Moreover, the purpose of the proposal is clearly defined and supported by the provided facts in it (von Konsky, Jonesand Miller 2014). In order to maximize the efficiency of the business proposal, it is important that the business proposal is properly arranged and formatted. While writing the proposal, writersshould use the different features like color, fonts, headlines, bullet points, thenumbering of the paragraphs. Use of these features makes the monotonous business proposal more interesting to the readers of it (Button, Harringtonand Belan 2014). Even though this task of formatting requires too much effort but it is to be kept in mind that too much use of the formatting features breaks the concentration of the reader from the topic. Therefore, the use of charts, diagrams in the business proposal makes it more interest for the readers (potential clients). Use of the communication model In the business proposals, it is also advised to use the Toulmins argumentation model. According to this model the business organization like KPMG, should start its business proposals by claiming something (Nardi, Bizaand Zachariades 2012). Then in the next phases, it should provide evidence to support its claim like KPMG provided the ROI after the organization's change from the traditional data centers to the cloud-based data centers. After this organizations have to depict its most persuasive evidence and warrant (core truth) to support its arguments in the proposal. Figure: Toulmins argumentation model (Source:Nardi, Bizaand Zachariades 2012, pp-92) Recommendations To achieve the maximum effectiveness of the business prposals some checkings should be done. some of them are discussed below, 1. There should be comparative analysis between two or more companies on a common product or service they provide (Matturro 2013). This will help the organization to get competitive advantage in the market and win more business opportunities than its competitors. 2. The organization should appoint someone to proof read the final draft of the business plan so that the chances of syntactical, typographical and grammatical errors in the business proposal (von Konsky, Jonesand Miller 2014). 3. Use of spell checker and other different softwares in the organization will help it deliver a best in class business proposal for KPMG. Conclusion An effective business proposal can be very much helpful for an organization to grab much more business opportunities than its competitors. Moreover, today it is widely acknowledged that the performance of the professionals and the business organizations are impacted to a large extent by the communication skills they have.
